How does the call capture marketing system work?

  • Salespeople advertise products/listings using “teaser” information in print media. Each ad asks potential buyers to call a toll free number for additional information. You can also offer to provide a free report for them to download and to call for recorded download instructions. View a sample ad here.
  • A prospect then calls your toll free number and keys in the product number you’ve advertised.
  • They hear your product advertisement and/or receive information on how to download the report.
  • They are then offered the opportunity to transfer the call directly to your cell phone, land line, or to leave you a voice message.
  • Simultaneously, your cell phone, Blackberry, pager, smartphone, and your email gives you the following information:
    1. Caller’s phone number (blocked or not)
    2. Caller’s name & address (when available)
    3. Date & Time of call
    4. The product they called about
    5. Location of where they saw the Ad (if you configure and advertise using the advertiser codes)

How do I create my advertisement?

There are several ways you can create your product advertisement:

  1. Use our convenient phone system to call in and record your ad over the phone (15¢ per minute charge applies).
  2. Record each product description through the Smart Sales Tools website using your computer’s microphone.
  3. Record each product description on your computer and upload it to the Smart Sales Tools website at a later time
  4. Type the text description into the description box and it will be read to the caller using our unique Text-to-Speech technology.
  5. Instead of a voice playback ad, you can upload a report and make it available to prospects on the Internet. They can access your free reports by using an unlock code sent to them via email. This feature is quickly replacing Fax on Demand and does not require you to record any information.

How do I get the caller’s information?

Caller’s information is delivered to you instantly to the locations you specify. These can be your cell phone/ Blackberry/ pager/ smartphone and/or email address(es).


How am I notified of incoming calls?

The leads will be sent to your email address(es) and/or your cell phone/Blackberry/pager depending on your preferences. You can customize this for each property. All your leads are also stored in the Smart Sales Tools system and you can view them from the website.


How do I advertise my products?

If you have your own toll free number, you simply advertise the toll free number and the 2 digit property code. Example: For a FREE house for the cost of the land call my 1-800-MY-NUMBR and enter code #23.

If you are using one of our toll free numbers, you advertise that number and the 6 digit property code. Example: For a FREE house for the cost of the land call 1-866-54-4-SALE and enter code #277023

If you wish to track advertisers, you will advertise a 3 or 7 digit code respectively for each product. Example #1: For a FREE house for the cost of the land call 1-800-MY-NUMBR and enter code #237. Example #2: For FREE house for the cost of the land call 1-866-54-4-SALE and enter code #2770237.

Why do I need a call capture and how will it generate more leads and increase sales?

For a specific requested toll free number, up to 5 business days, if the number is available. Check number availability here.

For transfer of an existing toll-free number from another provider, up to 10 business days.


I already have a toll free number. Can I keep it?

Yes! Your 800 number is owned by you and can be assumed by our network with your permission. It can take up to 10 business days to transfer an existing toll free number to our system.

NOTE: Please check with your current toll free number provider, as they may charge a transfer-out fee. This fee is not included in our $9.95 charge, and must be paid by you to have the number transferred.


How can I change the outgoing greeting?

How many properties can I advertise?

You can advertise up to 100 properties at any given time. All property codes are reusable, so once a property is sold, you can reuse that code for another property.


Do I need to buy a microphone for my computer?

No, you can record your property titles and descriptions over the phone system. A 15¢ per minute charge applies. Recording over a PC microphone and the internet is easy and FREE.


What information is in the lead messages?

  • Caller’s phone number (blocked or not)

What about leads from callers using cell phones?

Depending on the cell phone carriers, some caller ID information may be scrambled. This happens before the callers number even makes it into our system, so it really depends on the cell phone carrier. If we receive it, you get it. We are currently receiving over 95% of all cell phone numbers.

How do I track my advertising?

  • The last digit in your product ID is an ad-tracking number.
  • You can advertise each product in 10 active Ad types (0-9)
  • The caller will hear the same recording regardless of the tracking ID.
  • You will know where the call is coming from based on the last number they enter.
  • You learn which ads are cost effective, and which are not - even if the caller hangs up.

The system has built in customizable email notification templates that you can use to notify your clients and contacts related to a property whenever an event occurs on the calendar. You can customize which emails get sent after an event. Emails are sent to you and your client real time. This significantly increases your client satisfaction and communication.

FSBO Program

How do I set up a FSBO?

It is very much like setting up a regular product - from the Smart Sales Tools website product listing page, use the "Add New FSBO Product" link, record the title and description audio, and fill in the FSBO details.

The name & email sections are the contact for the FSBO website. You can put your details in here in order to get website leads and inquiries sent to you, or you can put the homeowner's details in here so that they will receive the website leads and inquiries. How you decide to do this depends on how you are marketing the FSBO program to your clients.

The property information can be entered by you or the FSBO. You can simply assign a user name and password and allow the FSBO to enter all of their own property information.


How do I add pictures to a FSBO listing?

Once you've set up the FSBO product, you go to the FSBO website edit page (follow the link from the product page). Click on "Edit My Listing", then click on "Edit Images" on the left side of the page. From the page that comes up you can place up to 15 images on the property listing site.


How do I add a virtual tour to my FSBO listing?

Virtual tour can be added to a FSBO through a website link by putting the following text into the "description" part of the property listing setup:

You'd replace the www.my-virtual-tour-link.com text inside the double quotes with the URL/address of your virtual tour. And you can replace the words "View my virtual tour here" with whatever words you want to have the buyer click on.

At this time we only support web-based virtual tours that you can link to from your property pages. If you use a different format feel free to contact us and let us know what format you use, we may be able to support it or it may be added in a future version of the site.


What codes do I advertise for my FSBO listings?

For the website address you will always advertise www.goseethishouse.com/XXXXYY where XXXX is your four-digit agent code and YY is the two-digit property code.

For the call capture you can use 1-866-54-4-SALE for a generic outgoing message. The call-in info that you will advertise XXXXYYZ where XXXX is your four-digit agent code, YY is the two-digit property code, and Z is the (optional) advertiser code.

If you have a custom number, the call-in info that you will advertise is YYZ where YY is the two-digit property code and Z is the (optional) advertiser code.

How do Office Accounts work?

Each office has an administrator. This is typically the person that signs up, though the responsibility can be delegated. That individual can create profiles for all the agents in the office, as well as run usage/billing reports to find out how much to bill back to each agent for leads, if so desired..


How much does an office account cost?

Each office account costs $99.95 per month plus leads ($0.25 per lead), plus certain phone system usage (fax-on-demand, phone system recordings, voicemail, call transfer) at the rate of $0.15 per minute. The monthly charge includes a custom toll free number for your office ($9.95 setup fee still applies). If you have at least 5 agents in your office, the office accounts offer greater value for your money than multiple individual accounts would. The monthly charges are billed to the credit card of the individual who signs up for the account, and billing reports are made available through the system to allow the account owner to charge back lead expenses to the agents in the office..


I am an administrator. How do I add my property listings to the system?

You will need to create an agent profile for yourself and use that Login and Password to set up your property listings. At this time, the administrator cannot have any listings from the administrative login..


I like it, but how will all my agents learn to use the system?
